The international machine manufacturer GROB recognized the danger of uncontrolled growth when introducing Microsoft Teams early on and was looking for an approach to carry out the rollout in a structured and controlled manner.
GROB discovered the governance apps External User Manager and Teams Manager in the Teams Appstore. The integration into Teams, communication with the developer and the further development of the two apps convinced GROB. Features such as templates, lifecycles and the invitation process for guest users were also a decisive factor.
With External User Manager, GROB maintains control over guests and their access to the tenant. Teams Manager ensures a structured Teams environment at GROB, while users can roll out new teams in a controlled manner.
The potential for uncontrolled growth was obvious early on during the rollout of Microsoft Teams at the international machine manufacturer GROB. GROB needed an approach to roll out Microsoft Teams in a structured and controlled manner. The most important challenge was to avoid potential wild growth from the start.
Through the Microsoft Teams Appstore, GROB came across the governance solutions from Solutions2Share, External User Manager and Teams Manager. Right from the start, GROB liked the easy integration into Teams, the communication with the developer, especially with regard to the further development of the products, and the constant further development possibilities of the two apps.
The extensive governance options were also a decisive factor – for External User Manager, the well-thought-out process for securely inviting and onboarding new guest users, and for Teams Manager, the templates for new teams as well as governance policies with naming conventions, lifecycles and metadata.
The Solutions2Share team supported GROB right from the start with challenges and approaches to solutions during the product launch and beyond. The app developing company also addressed customer needs from a development perspective: Solutions2Share responded quickly to feature requests and planned them into the roadmaps for future releases.
With External User Manager, GROB can now keep control over inviting guests and their life cycle on the tenant. Regular reminders ensure that guests who are no longer required to have access can be removed from the environment. At the same time, Teams Manager supports GROB in maintaining structure in Microsoft Teams and enabling the controlled rollout of new teams for users.
