IT-HAUS GmbH Microsoft Teams

IT-HAUS GmbH is an IT service provider and IT systems integrator that uses Microsoft Teams as its central collaboration platform. The company grew rapidly in terms of both personnel and structure. As a result, the number of teams, channels, and chats also increased. However, there was still no standardized set of rules for naming conventions, archiving, and lifecycle management.

To bring structure, clear processes, and automated lifecycle management to the Teams environment, IT-HAUS chose Teams Manager from Solutions2Share.

Since then, the company has benefited from standardized templates, a structured creation process, and automatic removal of inactive teams.

Challenge at IT-HAUS

IT-HAUS has grown significantly in recent years: more employees, more projects, and more cross-departmental collaboration. This was also evident in Microsoft Teams — numerous teams, channels, and chats were created in response to changing needs.

What the IT team was missing was a central management tool to ensure structure, transparency, and clear responsibilities without increasing the administrative burden.

Solution for IT-HAUS

With Solutions2Share's Teams Manager, IT-HAUS found exactly the right foundation. The deciding factors were the clear product philosophy, the solution's widespread adoption in the market, and the ease of implementation without the need for additional customization. The following templates are currently in use: a standard template for all teams, four project templates, and a template for sales opportunities.

In an initial pilot, the two largest user groups — project management and sales — were integrated. The next step is a company-wide rollout, so that in the future, all teams will be created exclusively through Teams Manager.

Benefits for IT-HAUS

By using Teams Manager, IT-HAUS has created a structured and scalable Microsoft Teams environment. The lifecycle process, which includes a 180-day inactivity rule, will significantly reduce the high three-digit number of unused Teams. The solution impressed with its simplicity: No support has been needed so far. IT-HAUS also plans to recommend Teams Manager to its own customers.

We deliberately chose a straightforward and well-standardized product.
